National Change of Address

The Postal Service enters into a database all of the address forms filled out by people and businesses when they move. This data in addition to being used by the Postal Service is also used by licensed NCOA (National Change of Address) vendors. The data is held in most cases for up to four years. When changes are held for this period of time, it will allow companies and organizations to update their mailing lists even if the lists are up to four years old. The process is accomplished by matching addresses of your data files with addresses on the (NCOA) move file. Even if someone has moved multiple times from the address on your list, the address will be updated to the most recent address.
Duplicate Elimination
The elimination of duplicate records from within your mailing list is one of several ways to reduce your postage expense. You can eliminate costs and maintain your professional image by not sending multiple versions of the same promotion or communication. Duplicate mailing records can generally only be removed when the records have the same address including suite or apartment number along with a matching last name. This elimination of duplicates, often times referred to as 'merge/purge', is much easier to process when most records are home addresses.
